Web Forms: Using Email Auto Responders with Forms

Introduction

Acknowledging and receipting donors after they have submitted on a form is one of the key actions your organization will do. When you create a form, a “Thank You” email will be included automatically and will be sent to anyone who submits on the form with no action form an organization member.

• ability to add personalization and branding

There are no prerequisites for creating an auto-responder

Auto-Responder Options


There are three options using the email autoresponders:

Option 1: Use the Out of the Box Responder

The form will include a basic auto-responder called Standard Donation Email. It will be automatically triggered after donations are made, even if you don’t do a thing! The email will contain tokens that will populate the donor information such as name, email and address, and the gift information that the donor can use for tax purposes. 

Option 2: Use a Favorite

If you already have a favorite Auto Responder that you have already created, Select it from the drop down

NOTE: To find the Message Templates, navigate to Configuration under Design & Message > Templates

Option 3: Design Branded Responders

To create a new auto-responder, roll over the Grey Gears next to Email Message

Click the Copy icon to start a new Message. This will copy over the Tokens from your new form so you don’t have to design from Scratch.

NOTE: You cannot edit the Standard Donation Email that comes with the form. Instead, just click the copy icon. This will automatically bring up a copy to work from where you can make any edits

Now that you have created your own email, the edit icon will appear instead of the copy

 

You will be navigated to the Design and Message section in the Configuration Application to create a new template. The name of the template will auto-populate, but it is best practice to rename the template to provide more context when selecting it form the dropdown on the form



On the Message Content Tab you will see all of the prepopulated content that contains tokens that will insert the donor information and gift information. Use the WYSIWYG to insert any text or images to customize the content that is sent to your donors. 



Click Save and when you navigate back to your form, your new template email will be selected.
